For a global alliance, every event is a negotiation with time. War starts, resource runs, boss fights — each one needs to land in a window where enough key members are online. ApoClock's event scheduling takes the guesswork out of that negotiation and replaces it with a clear, visual grid.
Creating an event
Creating an event in ApoClock takes about 30 seconds:
- Open the Events tab in ApoClock.
- Click New Event.
- Set the event title, APOC start time, and duration.
- Choose recurrence: one-time (with a specific APOC date) or recurring (daily or weekly on specific days).
- Add a description (optional — this appears in Discord announcements).
- Save.
That's it. The event immediately appears in the schedule grid.
The live schedule grid
The schedule grid is where event scheduling gets powerful. It shows every event alongside a colour-coded availability strip for your entire member roster:
- Green — this member is in their active working hours at event time.
- Yellow/amber — this member is in evening hours, may be available.
- Dark/muted — this member is likely sleeping or unavailable.
At a glance, you can see which events have strong coverage and which are likely to run short-handed. A grid row might read like this for a single event:
War Start · 20:00 APOC
Aiko (Tokyo) ▓ green active
Mateo (Madrid) ▓ amber evening
Priya (Mumbai) ▓ amber evening
Carlos (Lima) ▓ dark sleeping
Liang (Shanghai) ▓ green active
If an event consistently shows more dark cells than green, it's a signal to reschedule — and Goal Seek can find you a better slot.
Recurring events
Most alliance activities happen on a schedule. War events, weekly raids, alliance meetings — these don't change week to week. Set them once as recurring events and ApoClock handles the rest:
- Daily — repeats every day at the same APOC time.
- Weekly — repeats on specific days of the week (e.g., Tuesday and Friday).
Every member's card automatically shows their local time for any upcoming recurring event. No recalculation, no reposting, no reminders to send manually.
Linking events to groups
If your alliance uses Alliance Groups — sub-teams for different game functions — you can link events directly to a group. This scopes the availability grid to only show members in that group, making it easy to plan group-specific activities without noise from the full roster.
Automatic Discord announcements
When you create, update, or delete an event, ApoClock can post an embed to your Discord channel automatically:
| Action | What gets posted |
|---|---|
| Created | Event title, APOC time, duration, recurrence, and description. |
| Updated | The same fields, marked as an edit. |
| Deleted | A removal notice with the event name. |
This keeps your Discord server authoritative — members see event changes the moment they happen, without you having to manually post an update. How the Discord integration works →
Automated reminders
ApoClock sends automated reminder embeds to your Discord channel:
- 60 minutes before each event — gives members time to wrap up and prepare.
- 15 minutes before — the final "it's almost time" alert.
Both reminders include the event name, APOC time, and a list of which members are expected to be in their active hours at that time. More on automated reminders →
One source of truth
Before ApoClock, event schedules often lived in multiple places: a pinned Discord message, a Google Sheet, someone's notes. Keeping them in sync required constant manual effort. With ApoClock, the schedule is one source of truth — visible in the app, posted to Discord automatically, and always showing member availability in the context of real timezones.
